One of the most complex challenges in the field of educational services is harmonizing the existing expectations among students, teachers, clients, and ourselves. When we discuss these expectations, it’s crucial to highlight one of the most vital groups – the clients who invest in educational services. They anticipate clarity, flexibility, adaptability, and a wide range of choices.

Until now, service providers could only collect various payments for the same group manually. However, the newly introduced Exoclass advanced payment feature has opened the door to diverse payment options for the same group. Let’s delve deeper into this functionality.

One Activity – Multiple Payment Options

Now, Exoclass enables you to select multiple payment types and intervals, allowing clients to register for programs and make subsequent payments according to their preferences. You can choose from up to three preferred payment types:

– Pay-Per-Session: With options based on the desired number of sessions, clients can choose from all predefined session intervals (1 time, 4 times, 8 times, etc.). Invoices are sent after the specified number of sessions has been attended or on your chosen monthly date.

– Monthly Payments: Offering choices based on the desired number of months, clients can select from all predefined monthly intervals (1 month, 3 months, 6 months, etc.). Opting for a 1-month payment means that the client pays for future sessions, calculated four weeks ahead from the registration date. Subsequent invoices are also sent every 4 weeks or on your chosen monthly date.

– Full Payment: During registration, clients pay the full amount for the entire program duration.

Clients, when acquiring educational services, can choose the payment type that suits them best and will have a clear understanding of their payment frequency. Additionally, if needed, these settings can be adjusted individually for each client, accommodating changing needs.

This feature also provides the opportunity to arrange single-session events. By choosing the “every 1 session” payment option, customers can opt to buy just one session. If they decide to continue attending after the initial session, they can later modify the payment interval to a monthly or flexible option.

Organization of Camps, Tournaments, and Seminars

Within the Exoclass system, camps, tournaments, and seminars are typically created by selecting “camp-type” activities. While currently, only one payment type, “for the entire duration,” is available for these activities, you still have the flexibility to determine how the fee for this period is calculated:

– By checking the “fixed price” box, clients pay the full predetermined price regardless of attendance.

– By not checking the “fixed price” box, clients pay for each attended day (if a student joins the camp or seminar from the second day onwards, they pay for future sessions starting from the joining date).

In the near future, we plan to introduce the option of advance payments for camps, tournaments, and seminars, making it even more convenient to collect advance fees.

Payment Schedule for the Entire Academic Year

In addition to the advanced payment functionality, we are introducing a new payment schedule feature that will provide a clearer view of future client payments, aid in revenue forecasting, and offer discounts for those opting for long-term payments. This functionality also replaces the “Estimated expenses” feature.

Henceforth, a payment schedule will be generated for each client’s purchase, displaying:

– Planned invoice issuance date
– Planned invoice amount
– Participant information
– Payment period
– Group code
– Number of lessons covered by the invoice

Note that every balance entry affects the payment schedule, so it’s important to make balance changes only for the specific student or group that needs the adjustment. Pay attention to customers with more than one child or participants with more than one group.

Automated Invoice Delivery on Your Chosen Date

With the advanced payment functionality, we are also introducing automated invoice delivery. Invoices will now be sent on the same pre-selected day every month. You have the option to send all invoices at once or every 4 weeks from the student’s registration date.
